syncIO uses AI to help make sense of your business data — spotting trends, flagging issues, and writing plain-language summaries of what's happening in your business. This page explains what that means for your data, in plain English.
syncIO connects to your business tools (like QuickBooks) and pulls in your financial and operational data. Our Intelligence Layer analyzes that data and surfaces insights — things like cash flow forecasts, collections priorities, and anomaly alerts.
When AI narrative summaries are turned on, some of that analyzed data gets sent to an AI service to write the plain-language explanations you see on your dashboard.
Think of it this way: imagine your accountant summarizes your financials for a meeting. They don't hand over every invoice and receipt — they prepare a summary sheet with the key numbers. That's exactly what happens here.
What gets sent is a summary — things like "AR aging is trending worse over the past 30 days" or "cash flow looks healthy for the next 6 weeks." It's the kind of information your accountant would write on a whiteboard, not your actual books.
Your real data — actual invoice numbers, customer names, payment amounts, employee records — never leaves your system. The AI only ever sees the summary, not the source.
syncIO sends that summary to an AI provider to generate your plain-language insights. Your account administrator chooses which AI provider your platform uses — this may be Anthropic's Claude, OpenAI's ChatGPT, or another provider your organization prefers.
Regardless of which provider is configured, syncIO only ever sends the same summarized data described above. Your AI provider processes it to generate your summary and nothing more. Major AI API providers contractually guarantee they do not train their models on data submitted through the API.
For information on a specific provider's data practices, refer to their published privacy policy.
AI narrative summaries are turned on by default so you get the full value of the platform from day one. If you'd prefer to turn them off, any Owner or Admin on your account can do so at any time in Settings → Intelligence → Narrative Generation. The provider your account uses can also be changed from that same settings page. Everything else in the platform keeps working normally — you'd just see data and charts without the written summaries.
Your business data lives in your own dedicated database — it is never mixed with other clients' data, never sold, and never used to train any AI model. If you ever cancel your account, all data is deleted within 30 days.
